Tools to clean up your data
We’re only human, and when we enter data manually, mistakes happen – it’s unavoidable. But how do you find them so you can correct them?
The modifications report that we send you after each GEDCOM import is a great place to start because it identifies the records that we changed on import – reflecting those changes in your local tree will ensure they don’t get reported every time you send us an update
But we’ve also developed a series of reports that will identify the most common problems, that you can use as a corrections To Do list
These reports are designed for you to use, without the need for any input from us. Once your GEDCOM is live you can generate these reports yourself, quickly and easily. You can even download them to your computer so you can work with them offline. Correct the data in your local program, submit a new GEDCOM to us and when it’s live you can run the reports again to make sure everything is just so.

How to run the reports
Running a report is an easy 1-2-3 process, with an optional fourth step if you want to download the results
- When signed in to YourTrees, select Validate Data in the top bar menu
- Choose the report you want to run and double-click it.
- Wait for the report to be generated. Note: some are near instantaneous, others may take a few seconds to run. Please be patient!
- Now select your tree from the drop down list, to reduce the results to just yours
- If the list is short you can probably just work directly from it but if it’s long you may prefer to to download the report to your computer
- Click this button and save the file to your computer.
- Now you can use Excel or Google Sheets to open the file
TIP
When you have a record open to correct an issue, it’s more efficient to look for and correct other issues at the same time, rather than wait for them to appear on another data cleanup report.
When you’ve corrected your data
All you need to do now is submit a new GEDCOM and we’ll update your online tree.
TIPS
- If you have lots of changes to make and you want to do them in stages, there’s no need to wait to the end – submit revised GEDCOMs as you go.
- When you’ve completed all your changes and we’ve uploaded your latest tree, run the reports again to check that you haven’t missed any!
- And don’t forget to rerun the reports every time you send us a new GEDCOM, just in case the gremlins have affected your latest entries!!
